Recording studio booking and scheduling software
Give artists a booking link for fixed-duration sessions. Coordinate engineer availability with eligible rooms at your location, and keep artist details and session notes in your CRM.
How it works
Walkthrough: a four-hour vocal recording session
Illustrative setup, not a live booking or customer result. Use a test booking to check your own studio configuration.
1. Create the vocal-session service
Set the duration to four hours and describe the session. Add your engineer as a provider with their working hours.
2. Configure your studio location
Add Studio A as a room resource and make it eligible for the vocal-session service. Room availability is checked when the booking includes a location.
3. Book with a named engineer
The artist selects the service, location, engineer and available time. A compatible available room is assigned. Choosing any provider instead creates a request for staff to claim.
4. Arrange billing and preparation
Send arrival instructions and record preparation notes. If your plan enables invoice collection, send an invoice separately; this team booking flow does not automatically charge a deposit.
Coordinate sessions, engineers and studio rooms
Configure your session lengths, staff and room resources before publishing availability. Keep billing and session preparation clear for artists.
Fixed-duration session services
Create services such as a four-hour vocal session or a two-hour podcast recording. Explain what is included and what the artist should bring.
Engineers and compatible rooms
Set up engineers as providers and rooms as resources at a location. Configure the rooms that can support each service so booking availability checks compatible resources.
Artist records and session notes
Keep contact details and notes about microphone preferences, preparation and future sessions in the client CRM.
Choose the right plan for your workflow
Team and provider limits depend on your plan. AI voice requires a paid add-on or eligible plan. Invoice collection requires an eligible paid plan or trial. Test room availability and billing separately before accepting artist bookings.
Recording studio scheduling software FAQ
Key questions from studio managers, audio engineers, and producers.
Can I manage multiple rooms and engineers?
Yes. Configure engineers as providers and rooms as resources at your studio location. Assign eligible services to each room. Location-based availability checks compatible room resources as well as the selected engineer.
Does booking a studio session automatically collect a deposit?
No. The team booking flow described here schedules the session. Arrange payment separately, for example with a CRM invoice when invoice collection is enabled on your plan or trial.
Can artists book multi-day lockouts?
This workflow supports fixed-duration sessions up to 24 hours. It does not offer a single multi-day lockout booking. Arrange longer production blocks directly with the studio.
Can I add setup buffers and explain cancellation rules?
Yes. Add before-and-after buffers to eligible services so room reset and engineer preparation are included in availability. Put your verified cancellation and rescheduling terms in the service details and confirmation instructions, then test the complete booking flow before publishing it.
What happens when an artist chooses any engineer?
A booking with any provider creates an open request for staff to claim. Choose a named available engineer when you want the session assigned at booking.
Can an AI receptionist answer studio questions?
AI voice can answer calls using your approved business information. It requires a paid add-on or eligible plan. Verify your studio-specific booking setup before advertising phone booking to artists.
